Tip! The type of event you are able to submit requests for may depend on your Role permissions.

Tip! Required fields: When completing your request be sure to pay close attention to required fields, which are designated with a required block or red circle. Required fields must be completed in order to be able to submit the form successfully.

Alert! Make sure that your anticipated headcount number is on the higher end verses the lower end because this number is associated with what space locations will be available for your event.

Tip! Your event can have multiple meetings if you require multiple rooms or the event is spread across time (i.e. a recurring meeting).

Alert! Please note that your "End Date" will auto populate.

Alert! Rooms that would result in a double-booking conflict will show up with a red border

Alert! Selecting ‘Select No Room’ or ‘Select TBA’ (in the bottom left) could result in your Request being delayed or rejected (unless your event is not happening in-person)

Tip! If you need to see what "Features" are available in that location - Hover over "i" icon in the right corner and it will provide you with the following:

  • Notes associated with this space

  • Room Features : for example - OWL, Dual Projectors, Screen, Audio, Guest HDMI with tethered USB-C adapter, Whiteboard, Chalkboard, Document Camera, and so forth.

  • Room Type

  • Room Capacity

  • Building

Tip! If you don't see the space you are looking for - in the top right corner there is a "Previous (backward) and Next (forward) arrow" that indicate an additional page of spaces. Click on the "Next" arrow and see if your space is listed there. If you still don't see it, that means that it is either not available, is too small for your anticipated guest count, or is not listed under the filter type you selected.

Tip! Resources are divided into two main categories - Equipment and Service

Equipment = AV Equipment (Microphones, Use of Projector, Lectern with built in Windows PC), Tables, Chairs, Garbage Cans, Portable PA System and more.

Service = CET Tech Support Service, CET Recording, Zooming. or Live streaming Service, CES Support Service

Tip! If there is a Blue Line around the Resource it means it is properly selected and will be pulled from inventory for your event.

Please make sure to select ALL of the Resources you will be needing for your event.

Alert! Resources are a required field - meaning you must select something so if you do not need any CET or CES Resources or Services listed, but still need AV/Tech Support for your event (this is going to be when you may need ASWC Sound & Lights or have a special request) please make sure you select "No Resources Needed" in the bottom left of the resource pop up box.

Alert! If you select "No" then you will skip the next few steps and be able to move forward with filling out the next section of the request "Additional Information".

Additional Information Card

 

  1. This section of the request has three "Yes or No" questions and then a spot at the bottom to Add Additional Details if necessary.

Tip! "Will your event have food/drink? By making a selection here, this DOES NOT notify Bon Appetit. You will need to contact Bon Appetit @ whitman.catertrax.com directly to place your order.

Why this question is asked on the request is solely so there is a "check and balance" process to try and help event organizers during this transitional period with the new reservation system. The information gathered is for CES Administrative Use Only.

Tip! You can specify whether or not to send email notifications to other contacts for the event.

It is recommended that you select "Yes" that way anyone that is a Contact on this event will be notified via email to any approvals, rejections, or changes made.
